MANAGED IT SERVICES

What Does a Managed Service Provider Actually Do?

An MSP should do more than fix IT problems. Here’s what managed IT actually involves and what you should expect from your provider.

In this blog

Technology sits behind almost every part of your business.

Your team uses it to communicate with customers, share information, manage finances, work remotely and complete everyday tasks.

When it works, you probably do not think about it very much. When it stops working, you certainly do.

So who is responsible for making sure everything works together, remains secure and keeps up as your business changes?

That is where a Managed Service Provider, or MSP, comes in.

What is a Managed Service Provider?

Put simply, an MSP looks after some or all of your business technology for you. This can include:

Helping employees when they have an IT problem

Managing computers and other devices

Looking after Microsoft 365

Protecting your systems against cyber threats

Managing networks and internet connectivity

Managing your cloud services

Backing up important information

Planning and completing technology projects

Helping you plan future technology investments

Supporting AI and automation initiatives

However, there is an important distinction. A good MSP should not simply wait for something to go wrong.

What is the difference between IT support and managed IT?

Imagine one of your employees regularly loses access to an important system.

A traditional IT support provider fixes the problem each time it occurs. That is useful.

Traditional IT Support

1.
Problem occurs
2.
Call IT
3.
Problem gets fixed
4.
Repeat

But wouldn’t it be better to understand why it keeps happening? A proactive MSP should ask that question.

Perhaps an old computer needs replacing. Perhaps something has been configured incorrectly. Maybe other employees have the same problem.

The objective should be to find and address the underlying cause.

Managed IT

1.
Problem occurs
2.
Call IT
3.
Problem gets fixed
4.
Find the cause and prevent it from happending again

Good managed IT isn’t only about fixing today’s problem. It’s about reducing the chance of the same problem happening tomorrow.

Why should your MSP understand your business?

Your technology does not operate separately from your business.

A 25-person accounting firm, a 100-person not-for-profit and a construction company working across multiple sites have very different requirements.

25-person accounting firm

Security, compliance, Microsoft 365 and reliable access to client information.

100-person not-for-profit

Budget pressures, diverse users and technology that needs to support service delivery.

Multi-site construction company

Mobile workers, connectivity, devices and secure access from multiple locations.

That is why your MSP should understand what your needs are now and what they will be in the future.

Without this knowledge, it is difficult to provide genuinely useful advice.

Why is planning important?

Technology can become expensive when every decision is urgent.

Consider a server, business system or group of employee computers approaching the end of their useful life. Would you rather discover that six months beforehand or after something stops working? Planning creates options.

You can determine what needs replacing, investigate alternatives and include the investment in your budget.

More importantly, you can decide whether replacing the existing solution is actually the right answer.

Your technology should support your business plan

Where do you want your organisation to be in two or three years?

You may want to employ more people. You could open another office. Perhaps you want to improve cybersecurity, introduce AI or automate repetitive work.

Your MSP should understand these objectives because each one can affect the technology decisions you make today.

What should you expect from your MSP?

You should expect problems to be fixed. But you should expect more than that.

Your MSP should help you answer questions such as:

How secure are we?

What are our biggest technology risks?

Could we be using technology better?

What should we improve first?

Where are we wasting money?

What needs replacing?

What should we budget for?

At Commuserv, that is how we believe managed IT should work.

We look after the technology your organisation relies on today, while working strategically with you to prepare for what comes next.

Because the best IT problem is the one that never happens.

FAQs

What is a Managed Service Provider?

A Managed Service Provider, or MSP, looks after agreed parts of your business technology on an ongoing basis. This can include employee support, Microsoft 365, cybersecurity, computers, networks, backups, cloud services and technology planning.

An internal IT employee works within your organisation, while an MSP provides access to a broader team of specialists and established support systems. Some organisations use an MSP as their complete IT function, while others use one to support an internal IT team.

It depends on how heavily the business relies on technology and whether somebody is actively managing it. If technology problems interrupt work, cybersecurity is difficult to manage or future costs keep arriving unexpectedly, an MSP may be valuable.

Services vary between providers and agreements. Common inclusions are user support, device management, Microsoft 365 administration, cybersecurity, network monitoring, backups and regular technology planning.

We look beyond individual support requests to identify recurring problems, future risks and upcoming business requirements. We then work with you to prioritise improvements and build them into a practical technology roadmap.
